Purpose of Role To effectively assist the administration and quality process within the confines of internal and external requirements. This role forms part of the operations team within the office. Main Duties: * Demonstrates a good understanding of all contracts held within the office and complies with all requirements. * To compile accurate and timely claims. * To maintain accurate and timely manual and electronic client records. * Ensure file quality meets all stakeholder requirements. * Undertake internal audit checks within own team. * Undertake staff training on systems as required. * Maintain and develop internal and external communications. * Produce statistical and management information for review by Senior Management. * Meet audit expectations for all stakeholders. * To comply with all company processes and procedures. * Responsible for ensuring that all paperwork accepted into the Administration department is of a high quality and is submitted within set timescales. * Responsible for taking appropriate action to ensure the quality of paperwork meets agreed standards and is submitted within set timescales. * Roles may vary in some detail between offices and flexibility is a prime requirement of staff. * Support SAR, QIP and matrix procedures within current contracts. * Achieving qualifications within given timescales, whilst maintaining quality in delivery. * Responsible for ensuring that all paperwork is of high quality and submitted within set timescales. * Act in a professional manner at all times when dealing with customers both internally and externally. (Colleagues, individuals and outside agencies) Qualifications: * Demonstrable educational achievement commensurate with the needs and scope of the role. * Good level of Maths and English * Business administration Level 3 * IT qualifications such as ECDL, CLAiT, MOS or ITQ Experience * Industry & contractual knowledge. (SFA, EFA, ESF, DWP) * Quality procedure awareness. (Ofsted, Matrix and IIP) * Management / supervisory responsibility appropriate to scope of office * IT literate. (Word, Excel, Access) * Previous administration experience of maintaining comprehensive manual and electronic data * Responsibility for managing and handling cash as required * Used to working to tight deadlines * Numerate and literate Paul Feldman is the National Skills Agency Data Protection Officer.
