Human Resources and Compliance Systems Manager Location: Godalming Salary: £30,000 Responsible for ensuring HR compliance, and management of the HR databases and short term appointments for teaching, co-curricular, volunteer and contractor appointments. In conjunction with the rest of the HR Team, where knowledge and time permits, provide advice, support and administration on employment-related matters. Main Duties Compliance * Acting as the first point of contact for all general HR compliance queries, resolving and escalating where appropriate * Ensuring that the systems for recording HR compliance matters are regularly monitored and kept up to date * Working closely with departments, line managers and heads of department to understand and implement policies and procedures * Ensuring that all compliance checks required under ‘Safer Recruitment’ and other relevant legislation are completed and recorded * Supporting HR Managers at busy times * Ensuring contractors are properly registered as self-employed for HMRC purposes or PAYE on staff payroll Systems * Managing the HR ITrent data, its integrity and relevance, ensuring the system remains fit for purpose, that staff can access it either through the Employee Self Service or Manager Self Service portals Staff Recruitment * For selected departments, managing recruitment processes from identification of needs to selection and appointment of candidates Administration * Ensuring all recruitment- and leaver-related administration is carried out promptly * Maintaining electronic filing systems for ease of information retrieval, and arranging the archiving of material on a regular basis * Ensuring that all payroll-related information is passed in a timely manner to the Payroll team * Attending formal meetings (eg disciplinary, grievance, other) taking notes/minutes as required Staff Training and Development * In association with the Training Manager and line managers, ensuring all induction and mandatory training is scheduled and followed up in a timely manner * Assisting employees and managers to make the best use of iTrent as a database and management tool Projects/Project Management * With the rest of the HR Team, implementing a new web-based recruitment system Supervisory and Managerial Responsibilities * Responsible for purchases within a pre-authorised budget, for eg recruitment advertising, recruitment agency fees, application for DBS checks etc. Attendance at various management meetings when required, to deputise for the Director of Human Resources, eg. Compliance Committee, Data Protection Committee, Support Heads of Department. Systems and Software in use in the HR Department, include: * Microsoft Office 365 - Word, Excel, Powerpoint, Outlook * Midland iTrent (HR database) - training can be provided on the system if the jobholder is not familiar with it in the first instance * Variety of online HR compliance platforms * iSAMS (academic database) * Educare Online Training Platform * SurveyMonkey Knowledge and Skills Required Relevant Experience/Knowledge & Technical Competencies ESSENTIAL IT proficient, particularly with Microsoft office Experience of undertaking a wide range of complex tasks, often with a high degree of autonomy Experience of drafting correspondence which is grammatically correct and to a high standard of English Track record of working in a customer-service oriented environment using strong administration skills DESIRABLE Operational knowledge of managing databases Experience of working in a regulated environment HR technical knowledge to ensure compliance with legislation Personal Competencies / Skills ESSENTIAL Thrives on attention to detail Flexible and adaptable to changing and occasionally conflicting priorities, capable of working under pressure Excellent communicator - verbally and in writing A completer-finisher Team player with a ‘can do’ attitude Highly organised and ability to understand detailed information Positive and effective interpersonal skills such as tact, diplomacy and empathy Self confident and assured Utterly discreet and respectful of the need for confidentiality and sensitivity Ability to compile and interpret statistical data and communicate it in a professional and understandable manner Special Working Conditions This is a full time role, 37.5 hours per week, working all year round, Monday-Friday. The position operates as a partner to selected departments from within the School, on the understanding the jobholder will cover/ provide backup for other members of the HR Department. The jobholder is responsible for promoting and safeguarding the welfare of children and young people for whom the School is responsible and with whom they come into contact. Once the appointment is confirmed both parties are required to give at least two months’ notice. The School Charterhouse was founded in 1611. The original foundation was at Sutton’s Hospital in London. The School moved to its present magnificent 250-acre site near Godalming in Surrey in 1872. Many of its buildings are Grade II listed. In addition to the main school buildings, there are 12 boarding houses, 4 girls’ halls of residence, and around 80 residential properties spread over the school campus. In total Charterhouse employs around 400 staff, 120 of whom are involved with the teaching of the pupils
