We have an exciting opportunity for a Compliance Co-ordinator within our Biffapack team based in Stratford-Upon-Avon. The successful candidate will work with the compliance managers, scheme members and suppliers to ensure all information is up to date and recorded on our database. The candidate will also support the data manager and consultancy manager with template updates for packaging weights and also working with the WEEE compliance manager to obtain customer electrical product sales data (EEE). You will also ensure compliance with all QA procedures in line with job tasks, provide first line support to members and be a champion of Biffa compliance and company values. Overall, it is a varied role providing key support to the packaging and WEEE compliance scheme function, including membership registration, invoice template preparation, creating and checking orders, updating data templates, arranging WEEE collections, invoice reconciliation, compliance data monitoring and ensuring compliance with all scheme processes. Jargon Buster AATF - Approved Authorised Treatment Facility (WEEE Treatment Site) B2B - Business to Business customers DCF - Designated Collection Facility (Such as a Household Waste Recycling Centre) EEE - Electronic Product sales by producers WEEE - Waste Electrical equipment Responsibilities - Responsible for member administration & first point of contact for member queries Member Set Up (Database and Electronic Folder). Verifying member registration details (company details) via different support sites. Receipt of all documents required for registration. Member communication regarding all registration and data returns. Communicating membership changes and escalating where appropriate. Chasing information where not provided to ensure comprehensive and accurate records are kept and up to date. Manage all email inboxes, responding within 24-hour KPI (where possible) or escalation. Dealing with incoming and outgoing member communications, mainly via phone and email. Responsible for collating quarterly/annual returns Undertaking Pre-checks for packaging and WEEE registration. Assisting with allocation member returns and collect EEE data from scheme members. WEEE quarterly data submission checking. Contacting DCFs, AATFs and Biffa Sites for data, reviewing and chasing this where required. Recording monthly/quarterly data return. Identify discrepancies and resolves in a timely manner. Communicate and escalate where appropriate to WEEE compliance and Compliance Operations Manager any issues. Data Analysis Provide data template support for packaging weights to the data and consultancy managers. Collect Packaging information for plastic reporting.. Monitoring WEEE data against EA requirements. Monitoring EEE Obligation against EA requirements. To provide administrative support with financial accounting Goods receipt purchase orders and resolve supplier queries. Prepare the templates for Biffa Compliance invoices and provide the first line of contact to resolve invoice queries with credit control and compliance managers. Monitor and report the Bad Debt on a monthly basis. Reconcile invoicing against membership requirements. Responsible for arranging WEEE & Battery Collections Generate and log adhoc service quotes. Arrange collections. Arrange payment to AATF. Reconcile evidence to the collections. Annual Supplier Review Obtain compliance document for each compliance year. Copy of site licences and operational documents. Requirements - Highly organised with strong attention to detail and ability to multi task. Experience in dealing with customers, being first point of contact. Ability to communicate clearly and concisely internally and externally. Strong excel skills (VLOOKUP's, IF statements etc) and able to work with large data files. Strong knowledge of other office applications, such as Outlook and Power BI. Experienced in financial and purchasing systems. Experience in generating, checking and sending mailing communications to customers. High level of numeracy and literacy. Knowledge Producer Responsibility Regulations or similar (Preferred).
